Position Title: Membership / Development Assistant
Department: Development and External Relations
Reports to: Primary Supervisor: Membership Manager
Secondary Supervisor: Development Office Manager
Type of Position: Full-time, non-exempt


Scope of Position:
The key responsibility of the Membership / Development Assistant is to provide administrative and execution support for the Membership Program, a key revenue area for the museum, representing 7% of total contributed income. In addition, this position will provide administrative support to the development team, as needed. Occasional evening work is also required (for evening events and exhibition openings).

Membership Program:
• Coordinate / execute all membership appeals (in-house and with mail-house)
  including monthly/quarterly renewals and library renewals
• Maintain mail calendar for all membership mailings (to be coordinated with
  all mailings from museum)
• Answer membership line and respond to member emails when appropriate
• Coordinate / execute new member tours, membership promotions and all
  member events (including sending invitations, tracking attendance and staffing
  events) with direction from Membership Manager
• Respond to Board requests for member services with direction from
  Membership Manager
• Update Master Calendar with all membership events / tours.
• Update member lists and run statistical reports for Membership Manager and
  other departments as needed
• Order membership supplies and keep inventory (including letterhead)
• Prepare and submit paperwork for membership expense payment
• Assist with special membership projects as directed by the Membership Manager

Other:
• Phone coverage for development's main line and department head as necessary
• Meet and greet for department visitors
• Maintain donor files (and filing) for development department
• Assist with special events as needed (some evening work is required)
• Assist with miscellaneous projects as needed and with direction from
  Development Office Manager

Qualifications:
• Administrative office experience required; prior development experience preferred
• Strong computer skills required, experience using Raiser's Edge preferred
• Attention to detail, organized and an ability to handle confidential materials
  with discretion
• Ability to manage multiple tasks in a fast-paced environment
• Proactive and thorough working style
• Strong customer service skills, sense of humor and overall flexibility important
• Team player
